Position: Administrative Assistant
Classification: Non-Exempt
Responsible to: Executive Director
The Administrative Assistant will help maintain the efficiency of the organization by performing a wide range of administrative and office support functions, managing office communications, and completing administrative HR functions.
Duties and Responsibilities
Administrative
- Provide administrative support to the Executive Director
- Maintain copies of all contracts for organization
- Answer and direct phone calls
- Order and maintain office supplies
- Open and distribute mail
- Maintain agency donor database under the direction of the Development Director
- Interface with other agencies, organizations, and general public
- Manage maintenance of the building and Hospice campus
- Manage maintenance of office equipment such as copiers, fax, postage meter, etc.
Human Resources
- Create and place job ads
- Complete job candidate reference checks, schedule interviews and communicate with candidates.
- Develop onboarding and orientation schedule for all new hires
- Meet with new hires to complete all new employee paperwork
- Maintain and provide performance review materials to supervisors
- Create, organize, maintain, and audit employee files
Requirements
- Good verbal and written communication skills
- Excellent organizational skills with great attention to detail
- Experience with a variety of office equipment
- Expertise using MS Office Suite
- Aptitude and ability to learn and use technology
- Excellent customer service skills
- Strong analytical skills and the ability to handle multiple tasks concurrently
- A moderate-to-high level of independent judgement in performing responsibilities
- The ability to maintain organization, staff, volunteer and patient confidentiality as required by law
